Teams across industries are operating at a higher frequency, trying to keep pace with a landscape that constantly shifts beneath their feet. So when generative artificial intelligence (GenAI) emerged, it wasn’t embraced with wide-eyed excitement alone. It was also adopted out of necessity. Falling behind simply wasn’t an option.

There was a clear promise amid all the hype. Scale faster. Produce more. Move quicker. But while scaling output seemed relatively easy, scaling well – without losing clarity, cohesion or control – quickly became the harder challenge.

Teams drowned in channels, formats and deadlines. Expectations grew, even as timelines shrank. AI promised relief. Research cycles shortened. Insights could be pulled faster. Tasks that once required multiple teams could be streamlined through a mix of tools. It turned week-long timelines into same-day sprints, allowing organisations to operate at a scale that used to require significantly larger budgets and headcount. 

Adoption followed quickly, with 78% of global companies using AI in their daily operations by 2025. Speed became the headline metric. Yet as the initial surge of efficiency settles, a more complex reality comes to focus: production isn’t the primary challenge anymore. Structure is. 

Looking past the main KPI 

The first win was speed. GenAI delivered on its initial promise by accelerating upstream processes and compressing production timelines. Research and insights that used to take days could now be surfaced and synthesised within hours. Iteration cycles tightened across the board. Variations could be spun up almost instantly, sometimes with a single click.

But speed, as many organisations are discovering, was just half of the story. 

As AI was introduced into workflows, new constraints emerged, shifting the challenge from “how fast” to “how well”. Talent capable of guiding AI strategically remains scarce and expensive. Tool subscriptions quietly multiply in the background. Legal and compliance teams now examine intellectual property and data risk more closely than ever. And perhaps, most crucially, brand cohesion begins to strain under the weight of accelerated volume. 

From using AI to operating with AI 

AI’s initial phase was tactical. Can I write this? Can I generate that? The focus was on testing the edges and understanding what was possible. 

Most organisations now find themselves stalled at the second phase, where AI moves beyond being a side tool to becoming part of the infrastructure. At this point, experimentation gives way to structural thinking. Bigger questions were being asked. How does this fit into our workflow? Who owns quality? What defines “brand” at scale? Where does human oversight matter most? 

This requires switching gears. Over 90% of companies are either using or experimenting with AI.  The next step for organisations is to move beyond exploration and isolated use cases, embedding the technology deeper into their operating models. 

One example of this transition becoming more tangible was a localisation initiative for a global FinTech leader operating across 29 markets. While GenAI-enabled translation supported the effort, the greater impact came from building a structured framework that established messaging hierarchies, defined tone guardrails and introduced human review at key decision points.

Governance becomes a strategic discipline 

AI speed brings legacy approval processes into sharper focus, highlighting how they were built for a very different pace and way of working. Designed around slower, linear workflows, these systems were never intended to support work that could move from insight to execution within minutes. 

As speed increases across processes, more questions surface. Who signs off on AI-supported output? At what point does human review become mandatory? How is risk stalled without losing momentum? 

In this environment, governance becomes both a strategic enabler and a compliance safeguard. It becomes a core part of the system that allows teams to move quickly while protecting brand integrity. When designed well, governance accelerates work rather than constraining it. 

Clear decision rights, predefined escalation points and embedded guardrails reduce ambiguity and protect consistency. They allow teams to move quickly without compromising trust. But these systems must be well-designed to give structure to workflows and prevent noise from creeping in as scale increases.
